RENTAL AGREEMENT
Effective Date: 02/15/2025
Welcome to Ultra Flash Rental! By renting equipment from us, you (βCustomerβ) agree to the following Terms and Conditions. Please read this agreement carefully before placing an order.
1. Rental Agreement
By renting equipment from Ultra Flash Rental, you agree to:
- Take full responsibility for all rented items from the time of delivery or pickup until they are returned.
- Ensure all items are used properly and returned in the same condition as received.
- Follow all safety guidelines when using tents, speakers, yard games, and other equipment.
2. Rental Period & Late Returns
- Rental periods are based on the agreed-upon date and time after booking.
- Rental periods are from 10am to 5pm. Pickup/delivery the day before or morning of event. Return/pickup the day after event.
- Weekend or multi-day rentals available upon request.
- Late returns may result in additional fees. If you need an extension, contact us in advance to check availability.
3. Reservations & Deposits
- A deposit is required to secure your rental. The remaining balance is due 5 days before event.
- Deposits will be non-refundable in case of cancellations. (see refund policy)
4. Delivery, Setup & Pickup
- We offer pickup services, and delivery or setup for an additional fee. (Please note: We do not offer item pickups from our business address but from our Wyoming Warehouse.
- Delivery with no setup, will be delivered stacked in desired location. Customer responsible to restack after event over.
- The Customer must ensure there is clear access, gate code, or point of contact to discuss setup location.
- If no one is available at the time of delivery, we will attempt to contact you. Additional delivery attempts may incur extra charges.
5. Customer Responsibilities
- The Customer is responsible for proper use, care, and security of rented items.
- Any damaged, lost, or stolen items will result in replacement or repair fees.
- Items must be returned clean. Excessive dirt, stains, or damage may result in cleaning or repair charges.
6. Weather & Safety
- All items must be monitored in severe weather conditions, including protection from solar rays, high winds, rain, or storms that may cause damage.
- The Customer must take precautions to secure and protect all rental items in case of inclement weather.
- Ultra Flash Rental is not liable for injuries or damages resulting from misuse or weather-related incidents.
7. Cancellation & Refund Policy
- Cancellations made 5 days or more before the event qualify for a full refund plus your deposit or a credit toward a future rental.
- Cancellations 5 days or under before the event will be subject to zero deposit refund due to inventory and preparations.
- Weather-related cancellations will be handled on a case-by-case basis.
8. Tent Rentals
- All tents installed by Ultra Flash Rental will meet industry standards for safety.
- Ultra Flash Rental will not be responsible for damages caused by a tent that has been altered by any individual.
- Canopies or tents must be staked into ground completely along all four sides and corners. For tents going over a driveway or concrete, please contact us for options.
- The customer is responsible for locating and flagging any underground lines, septic, or irrigation prior to installation. Ultra Flash Rental will not be liable for any damages.
9. Photo Booth & Speaker Rentals
- Photo booths must be placed on a flat, dry surface and require access to power.
- Photo booth must not be moved after installed or placed in the sun.
- Damage to Photo Booth or equipment will be subject to $500-$2000 fee based on severity of damage.
- Speaker rentals require proper handling to prevent damage to the equipment.
- Damage to Speakers will be subject to $500 fee.
- Customers are responsible for ensuring no unauthorized tampering or misuse of electronic rentals.
10. Liability & Indemnification
- Ultra Flash Rental is not responsible for any injuries, accidents, or damages caused by improper use of rental items.
- The Customer agrees to hold harmless Ultra Flash Rental from any claims, liabilities, or expenses arising from the use of rented equipment.
11. Changes & Modifications
- Ultra Flash Rental reserves the right to modify these terms at any time. Any updates will be posted on our website and will apply to future rentals.
